Job Title: Entry-Level Administrative Assistant
Position Summary:
We are seeking an organized and detail-oriented Entry-Level Administrative Assistant to join our team. This role requires strong communication skills, a professional phone presence, and the ability to effectively coordinate with both customers and vendors. The ideal candidate thrives in a fast-paced environment and is committed to supporting smooth and efficient administrative operations.
Key Responsibilities:
- Serve as a primary point of contact for customer and vendor inquiries via phone and email
- Schedule appointments, meetings, and follow-ups as needed
- Maintain organized records, files, and documentation to support administrative processes
- Perform data entry, generate reports, and assist with routine administrative tasks
- Coordinate with internal teams and external partners to ensure timely communication and task completion
- Support office organization and manage supply inventory
- Maintain a professional and courteous demeanor with all internal and external stakeholders
Qualifications:
- Previous experience in customer service or administrative roles, preferably involving phone communication with customers and vendors
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to multitask and prioritize responsibilities effectively
- Professional phone etiquette with a customer-focused mindset
Preferred Qualifications:
- Experience working in a fast-paced office or operations environment
- Familiarity with general office software and communication platforms
