Administrative Assistant
We are in immediate need of a an Administrative Assistant.
Pay range is between $25-$30/hour.
Candidate need to pass ITAR requirements (U.S. Citizen/Permanent Resident), background (SSN trace/verification and County Criminal check) and drug test prior to starting work.
Hours: 8:00 a.m.-5:00 p.m.
Major Responsibilities Administrative
-
Place purchase orders, research, price, and purchase office furniture, supplies, materials, etc. (procurement)
-
Maintain inventory of all supplies and tools (office/janitorial)
-
Process payroll, review employee timesheets and maintain vacation/sick hours
-
Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing
-
Maintain hard copy and electronic filing system
-
Assist Quality Manager in maintaining AS9100 records, logs and audits
-
Manage set up and oversee administrative policies and procedures for office
-
Support staff in assigned project-based work
-
Other duties as assigned

Back up for procurement of Quotation Department
Bookkeeping
-
Weekly and/or monthly financial/metric reporting
-
Invoicing to customers
-
Accounts receivable analysis and collection
-
Receipts and billing
-
Bank deposits
-
Charge credit cards
-
Assists in reconciling accounts
-
Assist and serve as a back to the Administrative/Accounting Manager
Human Resources
-
Manage all Human Resource Department and various tasks
-
Performance reviews, counseling notices, health insurance, etc.
-
Maintain employee records
-
New hire and termination paperwork
-
Employee trainings
Knowledge and Skills Knowledge of
-
Microsoft Word, Outlook, and Excel
-
Records management systems (both automated and paper files) to ensure accurate maintenance of files and ease of retrieval
-
Word-processing, spreadsheet and database software programs related to job functions
-
Basic bookkeeping
-
Skill in:

The use of office equipment (including computer devices, calculator, telephone, fax machine, copier)
Ability to

Exercise good judgment in safeguarding confidential or sensitive information and adhere to high standards of confidentiality and honesty

Plan, organize, prioritize and perform multiple tasks to perform job functions in an orderly, efficient manner

Work independently with minimal supervision

Review, proofread, and verify forms and financial documents for accuracy in calculation, coding, and adherence to policies and procedures

Identify problems, analyze alternatives, and develop viable recommendations

Read, comprehend and interpret written materials of moderate to complex difficulty

Establish and maintain effective working relationships with those contact

Perform detailed work with a high degree of accuracy
Qualifications

High school diploma or GED required

QuickBooks knowledge required

Intermediate accounting / bookkeeping experience and/or education required
